Hodgins Charlie Carlson Francis Coleman Oliver Carole Hinshaw Alicia Clarke, Curator Julie Ellenburg, Secretary Absent: Valada Flewellyn Commissioner Mark McCarty Meeting was called to order at 4:35PM at the Sanford Museum by Chairman James Lee. The minutes of the July 5, 2011 meeting were reviewed and approved as written. New Business Ms. Clarke introduced two new board members - Francis Coleman Oliver and Carole Hinshaw. Ms. Oliver is a retired Seminole County teacher. She was at Midway Elementary School for 27 years and 3 years in Altamonte Springs. She is currently heading up the new Goldsboro Museum. Carole Hinshaw is currently employed at UCF as a Marketing/Program Officer. She will be retiring in October after 22 years of service. She is currently overseeing the exhibits and events for the UCF History Department. Ms. Ellenburg said Valada Flewellyn was unable to attend the meeting because she was heading out of town this day. Board member terms were reviewed. Mr. Lee read a letter of resignation from Stephen Wright. A new board member will be needed to finish his term. Serena Fisher's term has expired. She has chosen not to renew her term and has resigned. Ms. Best, Mr. Carlson, and Ms. Swann have agreed to continue to serve until new members are found to fill their positions. Ms. Clarke told the board about the letter written by former board member Grace Marie Stinecipher in which she requested the residency requirement for board members be eased. This has resulted in the City Commission allowing a portion of the board to come from outside Sanford but from within Seminole County. This change allowed the appointments of Ms. Hinshaw and Ms. Oliver as they live outside of Sanford. Ms. Clarke updated the board on the UCF RICHES Project. Two new interns from UCF, Katie Marra and Ashley Wilt have been scanning at the Museum. In working with UCF, Ms. Clarke is • learning more about fair use and copyright. UCF will accept items for scanning that date before 1923. After that date, the museum must know if the item is out of copyright. This has limited the pieces that can be used on the RICHES and Central Florida Memory websites. Museum Advisory Board Meeting October 5, 2011 • Page 2 Ms. Clarke described projects for 2012. She said Commissioner McCarty had suggested the Museum plan some activity to observe the 500th Anniversary of Ponce de Leon's arrival in and naming of Florida. Governor Scott has asked state agencies to observe "500 Days to 500 Years" with events leading up to the anniversary in 2013. The VivaFlorida500.com website has information about the celebration. Ms. Clarke passed out the city's history pamphlet and said it would be nice to have it translated into Spanish. She will try to find a volunteer at UCF. Ms. Hinshaw suggested the museum eek a speaker from the Florida Humanities Council. It was suggested that the Museum partner with the Museum of Seminole County History for pay for a special speaker. Ms. Clarke asked for suggestions on ways to find volunteers for museum projects. Mr. Lee suggested contacting Serenity Towers (across the street from the museum). They may have a newsletter or bulletin board for residents. Ms. Oliver suggested Workforce Central Florida. Employees from this agency helped set up the Goldsboro Museum. Ms. Clarke said a major project for 2012 would be the creation of finding aids for the research collection. She wants to make it easier for staff members to assist the public and for researchers to work alone. Mr. Hodgins asked about the status of the museum expansion project. Ms. Clarke said the project was on hold since the two possible funding sources had not come through and the construction costs had risen. She said the museum staff needs to maximize the use of the existing space. She III also said the greatest need is a meeting room and expressed the hope that there might be interest in an alternative project to build a community meeting room next to the museum. A discussion followed about available meeting facilities in Sanford including the Civic Center, Chamber of Commerce, and public library. The possibility of using the meeting room at Serenity Towers was mentioned. Ms. Oliver told the board about the new Goldsboro Museum in the former police substation on 13 Street. The museum will officially open on October 29. This year is the 100 anniversary of the annexation of Goldsboro and the 120 anniversary of the town's founding. The new museum has received several major collections including those of Alfreda Wallace and the Boykins family. Ms. Clarke said the staff of the Sanford Museum is excited about the possibilities of working with the new museum. Ms. Best, who is president of the Sanford Historical Society, suggested Ms. Oliver speak to the Society about Goldsboro. Ms. Hinshaw suggested a special presentation of UCF's Goldsboro documentary and she offered to contact Anthony Majors at UCF to request a copy of the film for the Goldsboro Museum. Ms. Clarke showed the board a new portable scanner called a FlipPal. This small battery operated scanner may be placed on top of a book or delicate document. The next meeting will be January 3, 2012 at 4:30PM There being no further business, the meeting was adjourned at 6:OOPM. IIII
