Meeting was called to order at 5:17pm at the Sanford Museum by Chairman Best.
The minutes of the October meeting were reviewed. Stephen Wright asked that the phrasing of
paragraph two indicate that he requested "Dr." be removed from his name in order to be less
formal. The minutes were approved as corrected.
Ms. Fisher requested a copy of the Fry biography of Henry Sanford since she was not at the
October meeting to receive one.
Ms. Clarke said Valada Flewellyn was absent because she was finishing her book. The book is
scheduled for release in April. The museum staff was please that Ms. Flewellyn had located a
photo of Page Jackson which belongs to Queen Esther Jones. The museum staff has been
researching the Page Jackson Cemetery for many years but has had no photos of the Jackson
family.
There was nothing new on the Celery Soup project.
Ms. Clarke said a fee schedule has been developed for the museum and is scheduled to be on the
City Commission meeting agenda on January 12, 2009. The fees were set by the City for
photocopies and research assistance. There will be signs with fees displayed in the research room
and copies of the fee schedule will be printed. The staff will also be more aggressively promoting
donations. Ms. Best asked where this money would go. Ms. Clarke said the staff will track the
amounts received but she did not know where the money would go. She said the museum needs
to do a better job at keeping statistics.
Ms. Clarke said the museum staff is no longer referring visitors to the Museum of Seminole
County for research assistance or collection donations.

Ms. Fisher said the Student Museum Restoration Committee would like a representative of every
historical society in Seminole County to participate in monthly meetings to discuss fund raising.
She will bring this before the Sanford Historical Society. She also said the Student Museum was
now open Tuesday, Thursday, Friday from 1:30- 3:OOpm.
Ms. Clarke said she would like to have monthly events at the museum. Some ideas that were
mentioned were guest speakers, poetry readings, and book signings by one author at a time. She
would also like to develop an outreach program with a local history presentation.
Ms. Clarke requested the board be aware of the Metroplan brochure which has a photo of
Dunellen identified as Sanford. The photo from the Orlando Regional History Center was
misidentified because there are watermelons in the photo and their staff assumed this was
"Mellonville." Ms. Clarke has no idea how many publications this photo has been in.
Ms. Clarke asked for help in checking for the museum's presence on the Internet. She would like
to know about sites that include the museum and any incorrect information. She would like the
museum to have a greater presence on the Web.
Ms. Clarke asked for ideas for a monument to be placed in Page Jackson Cemetery to
memorialize the unknown people buried there. Stephen Wright offered to write something
appropriate for a memorial.
• Ms. Stinecipher updated the board on the 125` anniversary celebration at First Baptist Church.
The church will honor its fifty year members during the celebration.
The board discussed the oldest churches in Sanford. More research needs to be done on New
Salem Primitive Baptist and the old bell at Mt. Moriah which was a gift from Henry Sanford.
Election of officers: It was moved and seconded that Christine Best be reelected Chairman by
acclimation. It was moved and seconded that Stephen Wright be elected Vice - Chairman by
acclimation. It was moved and seconded that Grace Marie Stinecipher be elected Secretary by
acclimation.
The dates of the meetings for 2009 -10 will be April 7, July 7, October 6, January 5.
Ms. Fisher requested the board's contact number be included with meeting agenda mailings. It
was decided to include Julie Ellenburg's business card with the mailing.
Ms. Clarke said she had been contacted by the Sanford/Seminole Arts Association
regarding the group's annual art exhibit in March 2009. The association will be meeting with Ms.
Clarke on January 26 to discuss having an event at the Sanford Museum which would be held
the same day as the annual art exhibit in March. A special exhibit of past association members'
work has been discussed. The following names were suggested: E.B. Stowe, Gretchen Lewis,
Bettye Reagan, Troy Ray, and Ashby Jones.
There being no further business, the meeting was adjourned at 7.10pm.

The Museum regularly assists the public with a broad range of personalized requests such as
personal research assistance; handling of research requests; copy services; photographic copy
services; digital photographic images provided on discs; microfilm copies; etc. Staff has analyzed
costs incurred by the department for meeting tailored requested as well as the rates, fees and
charges implemented by other jurisdictions for similar services. The resolution outlines the fees
that the Department believes is fair and balanced since it continues to provide some assistance at
no charge while capturing more of the costs associated with tailored service requests and those
costs actually incurred by the Department for copying, duplicating, etc. For example, research
assistance requested in person or by internet, fax or phone will be provided service for up to thirty

A resolution has been drafted by legal council for review by the commission.
RECOMMENDATION:
