• The meeting was called to order at 5:20pm.
The minutes of the last meeting on October 7, 2003 were not available for approval.
New Business:
The Chairman introduced and welcomed new Board members Bettye Smith and Paul
Hodgins.
Old Business:
There was a lengthy discussion of the museum expansion project. The question of
decision making authority was raised. The Board members asked for clarification of the
Board's role in deciding the floor plan and appearance of the building addition.
Commissioner Woodruff indicated the Board would have the final approval of an plans

before they are presented to the City Commission.
The Board reviewed the expansion project's progress. A preliminary floor plan was
drawn up by City Engineering staff after consultation with the Board and Museum staff
and a front elevation was drawn by the selected architects Burke, Hogue, and Mills. The
Board discussed the need for a floor plan that better reflects the Museum's needs
(including additional restrooms and a catering kitchen). It was determined that the Board
• needed to meet with the City's chosen architect to discuss the floor plan and cost
estimates.
• The financial sources were reviewed as well as the role of the Sanford Historical Society
in design considerations and fund raising. The Society will take the lead in fund raising
and the Board will oversee the design.
The Board directed the Chairman to write a letter to the City Commission requesting a
meeting with the architect to discuss the floor plan for the museum expansion. She was
also asked to contact Millard Hunt, building committee chairman for the Sanford
Historical Society, to review the role of that committee.
The integration of the Museum into future plans for Fort Mellon Park was discussed. The
Board will review the plans for the park at the next meeting.
It was decided to call a special meeting of the Board as soon as an architect is available to
discuss the building expansion plans.
The meeting was adjourned at 6:2Opm.

At its Regular Meeting of May 24, 2004, the City Commission appointed you to the Sanford
Museum Board, effective May 24, 2004, for a term to expire November 4, 2007.
The Sanford Museum Board is an advisory board to the City Commission of the City of
Sanford and is empowered and directed to acquire on behalf of the City and provide for the
• security, safekeeping and display of antiques, books, papers, paintings and other similar
possessions of the late General Henry Shelton Sanford, together with any other memorabilia
or artifacts of historic significance to the City and the surrounding area.
The Board is composed of citizen volunteers like you, with an interest in this community and
its standards.
Ms. Alicia Clarke, City of Sanford's Museum Curator, coordinates all meetings and will
provide you with a copy of the Board's goals, objectives and other materials as necessary. Ms.
Clarke will send you information regarding meetings.
Thank you for your willingness to serve on the Sanford Museum Board, and if this office can
be of further service, please let us know.
