Minutes Review Minutes: SERC 05/21/19, minutes previously approved Attendance: Zach Glenn Ronnie McNeil Faye Winfrey Jennifer Brooks, Chairperson Karan Stresen-Reuter, Secretary Jerry Sullivan Fred Alexander Tyrone Lowery Eileen Hinson Emily McCabe Add On Items/New Business 04/12/19: Easter Sunrise Service- Applicants will draw power from pavilion 7, restrooms being open are helpful. Will rent pavilillons 7 and 8 from Gam — 8am. A Park Ranger is working and will not be assigned to the eventl. Events costs will be summarized and event will be presented to City Commission. 08/10/19: Back to School Drive- Alesa Gross in attendance. The Police Department will attend with the truck and trailer. Participants may need to cross Celery to attend, may use cross walk at Elliott. Applicant would like the Fire Department to attend from 11am—12pm(however they may leave if a call for service is received) and stage on Summerlin. 1 Hot dogs, hamburgers will be prepared on the grill, drinks will be provided. A certificate of exemption and COI are needed. Will need an 8 yard dumpster on Friday, Signage alohng the right of way is prohibited. 10/05/19: Street Explosion: Event for the community, grilled out food, DJ, Police Department comes with the activity trailer. Attendance is estimated at 400. Will utilize Chase Park for parking or day care. Concern: A baseball tournament may be scheduled for Chase Park and will utilize parking. Jennifer Brooks has requested Ms. Gross to meet and/or speak with Mr. Thomas regarding outreach events prior to sending this and the Back Pack event to Commission. Will need a dumpster. There will be a bounce house and obstacle course and both will need COI. Also needed is the $50 Special Event application fee for both events. 11/03/19: Harvest Moon- will not need Magnolia Square. The event will take place from the square up to 3rd, closing 2"d. The event is doubling in sized, street closure is at 3pm-10pm. Event staff will use cars to block the roadway at 2nd and Magnolia, 3rd and Magnolia, Smiling Bison, Theater. 1 officer will have car by the drive thru and walk event. Needed; spiderbox by Cindy's Dance Studio, need dumpster, trash cans/bags (12) and recycling bins. 40 tables could go up with an estimated 360 participants. Event is rain or shine. $50 Special Event application fee is needed. Event 5pm — 9pm, set up at Spm, judging at 6:30 pm Staff Reports/Discussion - Please be prepared to review upcoming events in detail to ensure we are meeting our client's expectations. 06/04/19: EID Al Fitr 06/08/19: Hispanic Outreach Festival 06/15/19: Kids Fishing Tournament CANCELLED Next Meeting: To be determined 2
