Minutes Review Minutes: SERC 07/30/2019: motion to approve minutes Jerry Sullivan, seconded Ronnie McNeil. Attendance: Jennifer Brooks, Special Event Supervisor Faye Winfrey Ofc, Sean Hill Sgt. Zach Glenn Connie Fowler Marc Hultin Jim Gantt Alvarise James Eileen Hinson Ricky Johnson Dale Fisher Ronnie McNeil Add On Items/New Business 1. 10-19-2019: Food Truck Fiesta Battle of the Food Trucks: 4 — 9 PM; Jennifer Brooks requested applicant include maps for a more completed application. Applicant agrees to include in future. Vendors will arrive prior to food trucks. Expecting 40 food trucks; a Kids' Zone and merchandise vendors, both coordinated by Ladies 327. Marc Hultin requested the applicant keep event clean during and after event. City staff will check the event on Sunday to ensure the event area is clean. If applicant is unable to maintain the trash, City staff would be required for future events. Dustin stated he will be onsite and ensure trash is maintained and barricades remain in place. Police staff is being required to add additional security due to the attendance and size of the event. 2. 11-24-2019: Sofa & Suds: 2 — 6 PM: Applicant will follow the same street closure as last year's event. Parks Department will supply 150 chairs, 10 liners and one spider box at the northeast corner of Palmetto Ave. and 2"d Street. Applicant will follow the same understanding regarding trash clean-up and maintaining a clean event space. 3. 11-23-2019: Bad at Business Beer Fest: 2 — 8 pm. Street closures as follows: closure of 2nd Street, from Sanford Avenue to Palmetto Avenue; and Palmetto Avenue, from 1" Street to 2"d Street. Applicant will present a more detailed timeline and understands what is submitted to Commission and approved needs to be adhered to. Details regarding VIP area will be forwarded. Al James reminded there will be not be additional parking at the ( vic Center due to an event. The event will offer free beer. City services will include a dumpster due to back-to-back events. 4. 10-12-2019: Florida Trucktoberfest: 2:30 — 8:00 PM Sponsored by the Wet Spot; This is an low-key, family type annual truck meet. The event will require closure of the Hood Avenue parking lot. City services will include a dumpster and parking lot closure. Twenty percent of the proceeds will go to the "Picnic Project". The event will include alcohol sales, a deejay. The applicant agreed to maintain the parking lot trash and ensure lot is clean after the event. The Wet Spot will provide liability insurance and will name the Picnic Project and the City of Sanford as additionally insured. Should the parking lot fill -up, there will not be additional parking at the Civic Center. 5. 10-17-2019: Advent Health Cenra Care Free Flu Festival: 10 Ann —1 PM. The applicant will utilize a new footprint this year. The west side of the parking lot will be used for event participants. The parking lot area facing State Road 45 will be for clinic patients. 6. 09-26-2019: Seminole High School Homecoming Parade; 5 — 7 PM. Street closures are as follows: 1-5 PM for staging of the parade participants on: 1st Street, from Sanford Avenue to San Juan Avenue, and San Juan Avenue, from 1st Street to Seminole Boulevard, and 3-8 PM for the Parade Route and Pep Rally in Magnolia Square; 1st Street, from Sanford Avenue to Park Avenue, Magnolia Square. City Services will include SRO's for event security, sound system, power from the northwest corner of flower bed in Magnolia Square and three City staff. 7. 09-24-2019 Magic University: A representative was not available for discussion. Staff Reports/Discussion: Discussion regarding trash left after events was address and clarification was given to applicants. Trash from previous events has not been properly maintained and could result in the requirement of City staff to ensure events are cleaned during and after an event.There were no questions or concerns regarding the upcoming events. Next Meeting: 9/3/2019 Please be advised that more than one member of any City Board, Commission, or Committee may attend this meeting.
