Approval of Minutes: Motion by Christina Hollerbach to approve minutes of January 8, 2019,
seconded by James Lee. Motion carried.
Old Business:
StEPs Program update:
Alicia Clarke suggested the creation of two sub committees to assist with collections and
programming. These committees would also help the museum move forward with the StEPS
project. It was agreed by the board that such committees could be formed without a change to
the bylaws.
The Collections Committee would review the museum's current collections policy and mission
statement. It would assist in creating policy for the review and acceptance of items offered to
the museum. Valada Flewellyn volunteered to lead this committee. She will report at the July
meeting as to progress made in establishing the committee and on the collections policy
review. Joyce Qualls and Mike Smith volunteered to serve on this committee.

Approval of Minutes: Motion by Christina Hollerbach to approve minutes of April 19, 2019,
seconded by Mike Smith. Motion carried.
Old Business:
Ms. Christina Hollerbach advised the board that the Programming Committee received
clarification regarding the Sunshine State Laws. As a sub -committee minutes are reported to
the Administrator for public record, however the sub -committee will not make decisions. All
decision will be made by paid staff and the sub -committee will provide assistance and support.
The sub -committee also met with Lisa Jones, Parks and Recreation Director, Jerry Sullivan,
Recreation Manger, Brigitte Stephenson, Museum Staff, and Lisa Holder, City PIO to discuss the
Museum Face Book page and the approval process for marketing. After reviewing the approval
process and the City guidelines the committee feels that they have a better understanding of
and have Ms. Hollerbach also mentioned new proposed events, such as Celery-bration, Gertie,
and a lecture series, "Courtship through Time" in addition to the recurring events, Sanford
Gothic and Bar Room Challenges. The committee is pleased with the support that they are
receiving from the Recreation Department. Mr. Mike Smith is also working on new potential
events such as a spring training with the River Rats.

would no longer be on the board, therefore there has not been a Collections Committee
meeting. The Collections Committee now consists of Ms. Joyce Qualls and Mr. Mike Smith. Ms.
Clarke suggested that Ms. Qualls ad Mr. Smith may want to set a date for the meeting and
establish guidelines for the committee of two. Ms. Clarke also informed the board members
that three applications have been received for the board positions.
Commissioner Woodruff also wanted to discuss the StEPs program and its relation to the
Collections Committee. Ms. Clarke stated that Ms. Brigitte Stephenson, Museum Docent is
currently taking an online course on collections policies which is a component of the StEPs
program.
Ms. Baker asked Ms. Clarke "what is the current process for collection donations?" Ms. Clarke
advised that we do not currently have a good functioning system and she is working on proper
collections receiving procedures, which is part of the StEPs program.
Ms. Baker asked Ms. Clarke if there could be communication with the County Museum and
Bennett regarding collections as this is his area of expertise. Ms. Clarke shared that she and
Brigitte Stephenson are starting "from scratch" examine new policies and starting over and
staring new with collections.
New Business:
Ms. Baker would like to review projects for 2020. Per Ms. Clarke some of those projects will be
Collections Management, Woman's Suffrage, an exhibit on Chase and Company, and resolve
the ownership of the contents of the closet from the Women's Club.
Ms. Baker suggested a reception hosted by the Society to kick off the Woman's Suffrage
Exhibition. Ms. Baker would like the Museum to partner with another organization, such as
Lake Mary Museum and/or Oviedo History Museum. Ms. Clarke also mentioned the League of
Women Voters and the D. A. R. (the D.A.R founded the Sanford Museum) as partners.
