Add On Items/New Business:
Spooky Hollow update: Due to COVID this year's event will be held as a drive-thru event at Mellonville
and Westside. People will remain in their cars to provide social distancing and safety to the public. We
will decorate with props and music. A possible decorated car contest. Concerns for routing traffic.
Requesting PD input; an officer will most likely be needed at both locations to manage traffic. Also will
need to plan for walk-ups. There will be no downtown event.
Sgt. Justiniano also expects walk-ups at both locations and we need a pian for safety. He will look at a
map and get a number of officers.
Risk management — no questions
Eileen — no concerns/questions
Parks — We will possibly need sound equipment, trash receptacles, and tents; Robert requested a count
for trash cans and tents for pricing.
Spooky Hollow time 6 — 8 pm.
2. 9/24-28/2020 Hudson's Clearance Tent Sale; applicant has reduced tent size. The tent will not contain
furniture or guest. Tent only used for advertisement. There were no concerns.
3. 10/31/2020 Movie Fundraiser for the Central Florida Zoo; Located at the State Farmer's Market 17-92;
Derrick Daniels joined the meeting remotely. Per Eileen, the renovations to the parking lot have not
been approved. After Certificate of Completion is issued, the event should be okay to proceed. We will
proceed as if approval will occur. Alcohol will be provided by Buster's Bistro. Jennifer confirmed they
could operate under their catering license. We will need insurance from Buster's. A COI naming the
City as additionally insured, and a dumpster will be required. The applicant will have speakers and
radio frequency for movie sound.
4. 11-26-2020 Turkey Day 5K; Due to Covid the applicant is limiting participants to 500. The applicant will
use a 20 minute start window. The applicant is looking for a conditional approval in order to promote
the event. The applicant will require face coverings unless on the course, signage will be posted,
ingress and egress will be marked. No vendors, costume contest or awards.
Restrooms opened at 5 AM and a dumpster near the restrooms on Seminole Boulevard, spider box and
sprinklers off. One officer to arrive at 5 AM. Fire Dept will be on stand-by. Applicant hires medical
services and they will be on site for the event.

Upcoming Events:
Currently Lockheed Martin plans to have an acrobatic display over Lake Monroe on Friday, Oct. 30. The
City will not have an event to supplement this display.
Sanford Avenue Block Party Anniversary and Halloween event has reduced the road closure and the
event time. Road closure will be Sanford Avenue from 5th to 6th, road closure hours will be 4 —11 PM, and
event hours will be 5 --10 PM. Jennifer will send updated map.
Food Truck events will require set distances between food trucks. There will be requirements that will
be required to be followed.
