Christina Hollerbach moved to approve the Museum Advisory Board, Programming/Marketing
and Collections minutes. Seconded by Sean McCann.
Motion by Scott Carpenter to approve Museum Advisory Board meeting minutes from, as well
as Marketing/Programming, and Collections meeting minutes seconded by Christina
Hollerbach. Motion carried.
Old Business:

Mr. Handley reviewed the new logo design. Three versions, have been completed, color,
black, and white. Will send for review and approval.
o Working on a new brochure with Ms. Stephenson, needs additional photos. [)Oce
received Mr. Handley will send a PDF version to the Museum Board members for review
and suggested changes.
Gift Shop
w Ms. Stephenson stated that the painting and floor renovations are in progress upon
completion this will allow additional space for the gift shop area. Staff will begin training
on Civic Rec which will be used as the point of sale for gift shop merchandise.

Museum staff assisted with and completed the exhibits located at the Sanford Orlando
airport, however, has not connected with other organizations atthis time. Mr. McCann
has contacted afexv businesses that are interested. The anticipated challenge will be to
find anappropriate display case with alock.

Ms. Stephenson reiterated the use of the software program and how it will benefit the

Inventory
* Accessioning ofthe Naval collection was delayed due b]staff that has been out due bJa
medical issue. The project hassinceresummedandisinthefina|stagesofconnp|etion.
• Collections working group recently accepted items from the I986 Atlanta Olympic, a
hardware store sign, and a postcard ofthe Pica Hotel.
m Ms. Baker asked "what is the scope of the Museum on accepting items?" Ms.
Stephenson offered to provide a copy of the Collections policy, however at this moment
it is items related to henry Shelton Sanford and the greater Sanford area.
w Ms. Baker is concerned that Ms. Stephenson is accepting everything and that the
Museum does not have enough room to storage or display the items for people to
appreciate the items. Ms. Baker also asked if there is room to display the newest items

(1996 Atlanta Olympic collection and a hardware store sign) that have been accepted.
Ms. Stephenson responded that her focus is to make sure that the items have a
relevance to Sanford and that it is within the scope of the Museum. Ms. Stephenson
also explained that she is rotating the items within the exhibits to ensure that we are
using them.
• Mr. Sullivan asked Ms. Stephenson to share the outreach opportunities such as a
speaking engagement and a podcast about the History of Sanford. Ms. Stephenson
shared with the advisory board that she recently gave a lecture about Henry Shelton
Sanford to the Rotary Club, activities with the youth at Mellonville Center, and would
like to visit the Goldsboro Museum.
• Due to technical difficulties with the internet is was agreed upon that it would be
beneficial to wait until the next Advisory Board meeting to elect new officers.
• Set dates and times for upcoming meeting:
o Advisory Board meetings will continue to be quarterly on the first Tuesday at 5
PM. Scheduled dates are as follows: April 6th, July 6th, and October 5th. All dates
motioned and approved.
o Collections meetings will be held on the second Thursday of every month at 5
PM. February 11th, March 11th, April, 8th, May 13th, June 10th, July 8th, August 12th,
September 9th, October 14th, November 11th, and December 91h. All dates
motioned and approved.
o Programming/Marketing meetings will be held on the second Thursday of every
month at 5 PM. Scheduled dates are as follows: February 91h, March 9th, April 13th,
May 11th, June 8th, July 131h, August 10th, September 14th, October 12th,
November 9th, December 14th. All dates motioned and approved.
