Glenn Add On Items/New Business: 02-05-2022 Misfires Car Show and Buckcherry Concert Two day event; car show 2/5/22 & concert 2/6/22 Representative on the call did not have event details, but said the event would follow the previous Dr. Reverend Horton event. Jennifer requested additional details and applicant return to SERC meeting 1/4/22. Needs timeline and road closure details. 04/'30/2022 Hispanic Outreach Event Est 300 people To be held in McKibbin Park A clumpster will be required Applicant requests bathrooms be prepared and ready DJ for music Noise permit will be required Currently unsure of food trucks, but will update accordingly Jennifer requested COI from food vendors and inflatable companies If applicant utilizes food trucks they will need to be update to date with inspections, certifications and insurance The applicant will use 10 x 10 tents 12 trash boxes and 24 baths are requested Additional Discussion Jennifer request comments and/or suggestionsfor the revision ofthe Special Event Application. Sgt Glenn suggested additional lines for event details and it be stated the application will not be considered without a detailed event map. Next Meeting January 4, 202 Texas Road House Bike Run Benefit Alcohol outside Event hours 8a —4 pm 100 —150 bikes Applicant plans to house a small outside bar and vendors in the parking lot. Staff needs clarification on the hours of the outside bar. Participants will leave Texas Roadhouse for the ride, but will return later. The bar will not be operating until the bikers return. A dumpster is required Get Hookd on Lake Monroe Fishing Tournament The annual fishing tournament and seafood festival Event footprint is the same as the previous tournament FD will have a unit on stand-by PD for road closures Spider box at the SE corner of 2nd and Palmetto; SE corner of 11t and Palmetto Participant registration is on Friday at Celery City Craft Weight -in will be at the marina Event will feature live music and seafood from local restaurants and food trucks Estimated 150 teams. Teams consist of 1 adult; 2 adults; or 2 adults and 1 youth Currently the kids' tournament is on hold due to lack of supply of tackle for the kids. If the kids' tournament moves forward, it will include: Sunday will feature a kids' fishing tournament from 9 am — noon. The kids tournament will offer fishing education and tackle for youth provided by Fish Florida Food Truck Fiesta 3rd Saturday of the month 5 — 9 pm (event hours were corrected during this meeting) Set-up to begin at 1 pm; break down to be concluded no later than 11 pm. PD agrees the additional time is needed for break down and clean up. Parks staff is not needed for clean up. Volunteers will maintain and clean. FD will require a dedicated unit Jennifer requested a food truck list for each event to present to the fire marshal) and DBPR Food truck inquiries can be sent to Dustin Event footprint is not changing Jennifer requested the hours on the event application for Get Hook'd be corrected and an event map. Also requested, Food Truck Page 1 and event map. Plans for Jingle Jam are going well. Veterans Day 11 am Chief Smith will emcee Representatives from local agencies Road closure City Hall lobby will be open 1 table and 4 chairs Four 10 x 10 tents with weights Water in cooler Outside sound Request electrician check the service All flags at full staff Holes should be cleaned out before flags are placed so they are all at the same height Benson will check on the Space Corp flag Parks will open the City Hall gates in the breezeway. Jennifer will be on vacation 11/14-11/24. Small Business Saturday will just be retail this year; no open containers and will be utilizing space next to the info center.
