November 9, 2021 — Marketing and Programming — Motioned by Scott Carpenter, approved by Sean McCann. November 11, 2021 — Collections — Motioned by Scott Carpenter, approved by Sean McCann. Old Business YouTube video — received a large amount of engagement. Holiday Museum video — unable to create due to lack of time. Fang-tastic Fest - Successful event. Participant were able to enjoy the combination of history and folklore through storytelling. Museum's 65 1h anniversary • To be held on Saturday, May 21, 2022. • A picnic style event during the day which will be free to the public and include tours of the Museum along with yard games (i.e. croquet/racquet ball), offer lemonade and/or sweet tea, as well as Victorian style crafts for children. • An evening event is also planned. However, this will be a ticketed event. Brigitte has been in contact with John DeDonna of Phantasmagoria regarding entertainment for the evening event. Civic Rec would be used for ticket sales. • The winner of the Smith's Bar Room Challenge would be invited to the event and would be asked to be the sponsoring organization that would provide the alcoholic beverages for the evening portion of the event. • Sean McCann asked if there will be any music for the evening portion of the event? Brigitte Stephenson stated that she has not yet planned for music, however agrees that we should have a musical group. Ms. Stephenson has asked for suggestions regarding any musical groups and quotes for the entertainment. If alcohol is served, police fees would be another cost that would need to be included in the budget. Ms. Stephenson is asking the programming and marketing working group assist with a budget for the event. The Historical Society will assist with event costs and is also planning on two members to assist with coordinating the event. Currently they do not have any volunteers. • Scott Carpenter suggested the theme of the events be centered around the start of the Museum, military, Jackie Robinson, sock -hop etc. • Create sponsor packages to offset the costs. • Sean McCann asked if food will be provided? Brigitte Stephenson would also like to have food however, it is a cost that will need to be considered and included in the budget. • Ms. Baker asked if there is a budget for the event? Mr. Sullivan stated that the Museum has $2000 in a marketing budget as well as operating budget that she can use toward the cost. Ms. Baker provided suggestions regarding sponsor packages, the budget, and advertising/promotion of the event. Metrics for the Museum (surveys/sign-in information) — Brigitte is in the process of creating a QR code. New brochure — received great feedback. New Business Advisory Board Meeting Dates • The following dates and time were voted and approved by the Advisory Board: April 51h, July 12 th, October 4 th of 2022 and January 10, 2023 at 5 Pm. • Programming & Marketing — second Tuesday of every month at 5 Pm. • Collections — second Thursday of every month at 5 Pm. 2 UCF and Georgetown project • Concerns from Ms. Baker regarding who owns the rights to the artifacts and where would the artifacts be displayed. Ms. Stephenson stated that the artifacts would be displayed in the lobby of the Sanford Museum and in a permanent exhibit in Georgetown. Some items may be held in storage and then rotated out. Based on the collections policy the Museum would be the owner of the artifacts. • The collection policy will helps guide the collection process and does not allow for restrictions. Claudia Brown exhibit • Ms. Brown has offered to loan her father's photography collection. The items are expected to be received in January and on exhibit in February. New exhibit ideas • Christina Hollerbach would like to have a "History of Courtship" exhibit to showcase the history of courtship and how it has changed overtime. The Museum has love letters that were written to Henry Sanford. • A temporary exhibit for the Sanford Chapter of Future Farmers of America, their role in World War 11 and how they kept the Agricultural communities afloat. • Mid -Century Sanford and Jeno Pauluccis' former home in Sanford. • Scan McCann asked if there are any plans for mobile exhibits. Brigitte Stephenson would like to have more mobile exhibits; however, she needs to find more locations. Christina Hollerbach suggested an exhibit at Hopper Academy. Brigitte stated that she has had conversation with Mayor Woodruff and that he would like to apply for a grant that would assist with an exhibit at Hopper Academy. • Historical Society collaboration — coordinating a group that would assist with Museum events and activities. • New hire Diane Hansen is working with the Past Perfect software and the Celery Soup collection and will begin working on the Tim Raines collection. • Commissioner Britton agreed with Pasha Baker on suggestions regarding the 65'h Anniversary event ideas. QR codes are a great idea. Commissioner Britton would like to see the City of Sanford and the Public Information Officer Lisa Holder, contact the Ambassadors of the City and the graduates of the Citizens Academy to promote the Museum and activities on their social media platforms.
