Old Business:
"Promenade in the Park" Sanford Museum's 65th Anniversary Picnic.
• The event has been created and posted on Facebook.
• Museum staff and Ryan Handley are creating a video for Facebook and YouTube.
• Possible daily post on Facebook for one month leading up to the event. Posts would
consist of information related to 1911, century fashion, recipes, and favorite artifacts of
staff.
• Potential giveaways: "Sanford Museum Celebrates" sandalwood fans engraved by
Whisker Works.

Old Business:
"Promenade in the Park" Sanford Museum's 65th Anniversary Picnic.
• The event has been created and posted on Facebook.
• Museum staff and Ryan Handley are creating a video for Facebook and YouTube.
• Possible daily post on Facebook for one month leading up to the event. Posts would

Whisker Works.

• Sean McCann recommended paper parasols for decorating and sales.
• The marketing working group is still deciding whether to have food trucks or allow
participants to bring their own food. Costs would be covered by the Historical Society and
donation funds from Museum gift shop sales.
• Pasha Baker and Nancy Sepulveda both recommend food trucks as a way to include small
businesses as well as a way to prevent liability. Nancy Sepulveda also discussed charging
a fee to the food truck vendor in order to participate in the event. Nancy Sepulveda has a
list of food trucks vendors that have expressed interest in Porchfest and might like to be at
the Museum's event.
Museum Grant status
• The grant application submitted by Mayor Art Woodruff was approved. The Museum will
receive $40k in four increments of $10,000 upon completion of the following:
o Complete the introductory package of requirements for the implementation of the
Scope of Work. Introductory package of requirements includes: Timeline of grant
activities for the grant period (e.g., Calendar of Events, Season Schedule, etc.) and
Grants Management Quiz Completion Confirmation for participation in a DCA
Grants Management Webinar.
o Execute first phase of cataloging the museum collection and implement upgraded
to software to collect images of items. Report of items cataloged in Past Perfect
and sample images.
o Execute second phase of cataloging the museum collection and execute one onsite
special event. Report of items cataloged in Past Perfect. Marketing materials for
event.
o Execute third phase of cataloging the museum collection and publish museum
website with images of items and virtual tour. Report of items cataloged in Past
Perfect. Screenshots of website.
o Pasha Baker suggested that we looking into Google 360 to the Virtual tour
UCF and Georgetown project with Florida Emancipation Day
• Museum staff will collaborate again with UCF and the Georgetown Steering Committee to
organize a History Harvest event, October 14-15, 2022 to collect Georgetown's history.

• Pasha Baker asked Brigitte Stephenson to explain exactly how the Museum is working
with UCF. Brigitte stated that UCF has supplies, such as scanners, that will be utilized to
included items with the Riches project. This will allow researchers all over the world to
use these resources.
• Brigitte Stephenson also stated that two different consent forms, one for UCF and one for
the Museum, will be used to inform the community that restrictions for a collection are not
allowed and scans will belong to UCF and the Sanford Museum.
• Pasha Baker wants to make sure that the consent forms clearly state that the information
obtained will be strictly for research and documentation purposes only and the forms
should also clearly state who owns the research. Per Brigitte, the citizen will own the
artifact(s) and the scans will belong to UCF and/or the Sanford Museum. The citizen may
choose to give consent to one, both or neither of the facilities.
Collaboration with Sanford Historic Trust and Sanford Historical Society
• Lecture and mini Museum event for the Historic Trust for their Gardening festival.
Savannah Bitto-Poole will reach out to the Community Garden in the attempts to
coordinate and lecture that would include the traveling mini exhibit.
• Historical Society has a meeting July 21St joining the meeting will be Emily Dietrich of
Florida Public Archeology Network. Emily will give a lecture on Hurricanes and the
effects on archeology.
• Pasha Baker asked "what is the average number of people coming to the lectures and
events, how are the events being marketed, and who is marketing the events. Brigitte
Stephenson stated that the events average 30 participants, the marketing is typically
through the organization that has requested or agreed to the lecture/event and then
reported on social media. If an event is hosted by the Sanford Museum the marketing is
taken care of by City staff, (Savannah Bitto-Poole), other graphics have been shared by
Ryan Handley, as well as volunteers from the Historical Society, who will hand out
flyers.
• Pasha Baker suggested that with remaining funds from the marketing budget that Brigitte,
"Boost Posts" on social media although Pasha is unsure as to how that would be done
through the City. Brigitte stated that it would have to come out of the budget, however the
biggest hurtle would be the payment system but can be looked into.

• Nancy Sepulveda explained how there are funds available to non-profit groups through an
application process. While not applicable for the Sanford Museum it is helpful to the
organizations such as the Sanford Historical Society.
New Business:
Traveling Exhibits
• The new traveling exhibit case that was purchased is anticipated to arrive in August. The
exhibit case will be placed at the Ritz Theater for 1 year for the theaters 100th anniversary.
After a second case is purchased, Brigitte Stephenson, would like to place the case at HCA
Florida Lake Monroe Hospital for 1 year.
T-shirt sales
• Shirt sales have begun and seem to be selling well. Museum staff would like to design and
sell a "Museum" T shirt. A possible design is to have an image from the 1920's Chamber
of Commerce on the back and front have the Sanford Museum logo.
Fire Department 150 Year Anniversary
• A representative of the Fire Department had been to the Museum to do research on the
anniversary of the Fire Department and stated that they would be back in touch. Brigitte
has not heard from them, however anticipates the possibility to assist with the upcoming
anniversary.
Holidays at the Museum
Brigitte would like to host a "Family Craft Day" on November 26th, which is also Small
Business Saturday.
• Historical Society Holiday Party
o Due to COVID, some of the board members would prefer to not host the party
o Perhaps offer the use of Monroe Hall to provide more space
o If they still do not want to host the event the Museum will host their own party
