As you are aware, there are two (2) "Basic Agreements" between the City of Sanford and CPH.
These two agreements have similar dates and have from time to time been confused when writing
amendments to provide new work. The "Basic Agreements" are as follows:
1) 12/7/83. This agreement is found in contract file no. S0602.00. This "base
agreement" should be used for work relating to wastewater / reclaimed
water projects.
2) 12/17/87. This agreement is found in contract file no. S0607.00. This "base
agreement" should be used for work relating to water/storm water projects.
If there is a doubt as to which agreement to use, refer to the actual base agreement to
determine types of work which are authorized.
A "matfix" has been developed to help us try and keep track ofjob numbers and their associated
amendment no. This matrix is located on top of the contract file cabinet; JMS's office; and LJW's
office. A copy has also been furnished to the City. When requesting a new job number for the
City, it is important tO let LJW know the Amendment number you are using so it can be added to
the matrixes. Before an amendment goes out the door. please check with JMS to determine that
the appropriate number has been used.
We also have certain work with the City that has been completed under "letter agreement"
authorization. These jobs are also listed on the matrix. In most cases, however, a formal
amendment is used tying the job back to either the 83 or 87 "base agreement".
